Manage Files View

The Manage Files view displays your folders and documents and provides features that you can use to upload new items; create new BarTender documents by using a preconfigured template; and sort, move, rename, search, delete items, and so on. You can also use this view to color-code your folders to make them easier to find. To display this view, click on the toolbar, and then click Manage Files.

For security reasons, the following conditions apply to label template designs that BarTender Cloud supports:

  • BarTender Cloud supports label templates that use data entry forms, embedded data and database tables, and connections to cloud-based databases. Label templates that have linked pictures or connections to comma-separated values (CSV) files are not supported.

  • VBScript is supported except for actions or features that are blocked, such as the following:

    • Local file system access

    • The ability to run command lines or external programs

    • The ability to create and use external automation objects

    • Any other script element that presents a security risk when it runs on a shared server

The Manage Files view includes the following components.

Folder Navigation Pane

The folder navigation pane on the left side of the view displays the hierarchy of folders and subfolders that contain BarTender documents. When you select a folder in the navigation pane, the subfolders and documents in that folder are displayed in the item list pane to the right of the navigation pane.

The folder navigation pane also includes a Trash folder, which contains items that have been deleted. Click Trash to view this folder's contents and to restore or purge items. For more information, refer to Managing Your Documents.

Toolbar

The options that appear on the toolbar above the item list pane vary depending on your permissions to access a particular item, on whether an item is selected, and on whether a document or folder is selected. The following options are available.

Note: Depending on the size of your browser window, some of these options might not be visible. In this case, click to view these options in a menu.

  • New: Provides options to create a new document by using a preconfigured BarTender template or BarTender Cloud Designer, to upload a document or folder, or to create a new folder.

  • BarTender Template: Displays the Select a BarTender Template page so that you can create a new BarTender document by using a preconfigured template design. For more information, refer to Using BarTender Templates. Available when no item is selected.

  • Print: Opens the Print page so that you can preview and print the document. For more information, refer to Print Page. Available when a document is selected.


  • Download: Downloads the selected item to the local computer.


  • Design: Opens BarTender Cloud Designer so that you can make certain types of edits to the document. For more information, refer to Using BarTender Cloud Designer.

  • Connect to data: Displays the Edit Your Document page so that you can connect the document to a database and make other changes. For more information, refer to Using BarTender Templates. Available when the document that is selected was created in BarTender Cloud by using a template in the Template Assistant.


  • Delete: Deletes the selected item and places it in the Trash folder. When you delete a folder, all the items in it are also deleted.

    When you open the Trash folder, the following options are available on the toolbar:

    • Delete forever: Purges the selected item. This action cannot be undone.

    • Restore: Restores the selected item. When you restore an item in a deleted folder, the folder is also restored, while the other items in the folder remain deleted.

  • Rename: Opens the Rename dialog, which you can use to rename the selected item.

  • Copy to: Opens the Select Destination dialog, which you can use to specify the location that you want to send a copy of the item to. You can also use this dialog to create a new destination folder.

  • Move to: Opens the Select Destination dialog, which you can use to specify the location that you want to move the item to. You can also use this dialog to create a new destination folder.

  • Copy link: Places a copy of the URL for the selected item on the clipboard. When you paste the link into the address bar, the link's behavior varies depending on the item type, as follows:

    • For folders, the link opens BarTender Cloud to the folder in the Manage Files view.

    • For BarTender document files, the link opens BarTender Cloud to the Print page for the document.

    • For PDF files, the link downloads the file. PDF files can be uploaded to BarTender Cloud only by using the BarTender Cloud REST API.


  • Comment: Opens the Revision Comment dialog so that you can add a comment to the selected document. Available when a document is selected.

  • History: Displays the Revision History page so that you can view the revision history for the selected document. For more information, refer to Managing Document Revisions. Available when a document is selected.


  • Folder Color: Provides options to change the color of the folder icon, as follows. Available when a folder is selected.

    • Click Change color to open the color selector, which you can use to specify the color that you want to change the folder icon to.

    • Click Reset to restore the default color.


  • Permissions: Opens the Permissions for dialog so that you can configure permissions for the selected item. For more information, refer to Granting Access Permissions.

  • Refresh: Reloads the content in the Manage Files view.

  • Search: Searches for items by name or partial name.

  • : Shows or hides the details pane, which displays detailed information about the selected item. For documents, a preview is displayed, as is any description that was added in the BarTender Document Options dialog in BarTender Designer.

The toolbar also includes a breadcrumb trail that you can use to navigate to the parent folders of the items that are displayed in the document selection pane.

Item List Pane

The item list pane displays the items in the folder that is selected in the folder navigation pane. It displays the item name, the date when the item was last modified, the name of the user who last modified the item, and (for documents) the file size. When you click on the toolbar, a details pane that includes information about the selected item is displayed next to the item list pane.

To manage one or more items, click to select the check box for the items that you want, and then use the options in the toolbar to download, delete, rename, copy, and so on. For more information, refer to Managing Your Documents.
