Managing Users

As an administrator, you can invite new users to your BarTender Cloud account as well as edit, deactivate, reactivate, and delete existing users. You can also change or remove profile pictures, send a password change request email message to a user, and resend a BarTender Cloud invitation to a user who has not responded to the initial invitation.

  • To open the Users page, click on the header bar, then select Security and Users

Use the following procedures to invite or reinvite users to BarTender Cloud.

ClosedTo invite a new user to BarTender Cloud

  1. On the Users page, click Create User.

  2. In the Create User dialog, follow these steps: 

    1. In the Enter First Name field, enter the user's first name.

    2. In the Enter Last Name field, enter the user's last name.

    3. In the Email field, enter the user's email address.

    4. Select the Set as administrator checkbox if you want the user to have administrator permissions.

    5. Select the Allow password-based API access checkbox if you want the user to be able to access the BarTender Cloud REST API by using a console application or service that requires a user name and password. For more information, refer to Authentication. The password-based API access option is available only for the Automation subscription plan.

    6. Select the Enable two-factor authentication checkbox if you want the user to be able to use two-factor authentication when they sign in to BarTender Cloud. Available when allowed authentication factors are specified on the Global Settings page.

    7. In the Roles list, select the roles that you want the user to have. A user must have at least one role if they are not an administrator. Available when Set as administrator is not selected.

    8. Click Invite.

    9. The password-based API access and two-factor authentication features are mutually exclusive.

The email invitation that the new user receives includes information about how to get started with BarTender Cloud and a link to a Change Your Password dialog that starts the onboarding workflow. After the new user provides a new password, they are guided to provide the following:

  • Email address and password to use to sign in to BarTender Cloud

  • Account information, including name, title, city, state or province, country, and telephone number

  • Responses to the Terms of Service and BarTender communications options

ClosedTo resend an invitation to BarTender Cloud

  • In the Users list, click for the account whose invitation you want to resend, then select Resend invitation.

    An email message that contains an invitation to BarTender Cloud is automatically sent.

Use the following procedures to make changes to existing user accounts.

ClosedTo edit an existing user account

  1. In the Users list, click for the account that you want to modify, then select Edit.

  2. In the user information dialog that appears, make the edits that you want.

  3. Click Save.

ClosedTo allow password-based BarTender Cloud API access for an existing user account

The password-based API access option is available only for the Automation subscription plan.

  1. In the Users list, click for the account that you want to work with, then select Edit.

  2. In the user information dialog that appears, select the Allow password-based API access checkbox.

  3. Click Save.

ClosedTo change the profile picture of an existing user account

  1. In the Users list, click for the account whose profile picture you want to change, then select Change profile image.

  2. In the Choose and crop an image for user dialog, click Choose Image.

  3. Browse to and select the image that you want, and then click Open.

  4. Use the sizing and positioning handles to crop and rotate your image as needed.

    To select a different image, click Change Image and repeat step 3.

  5. Click Save.

ClosedTo remove the profile picture of an existing user account

  1. In the Users list, click for the account you want to work with, then select Remove profile image.

  2. In the Remove Image dialog, click Remove Image.

Use the following procedures to manage security options for an existing account.

ClosedTo send a password reset request

  • In the Users list, click for the account that you want to work with, then select Reset password.

    An email message that contains a password reset request is automatically sent.

ClosedTo turn on two-factor authentication for an existing user account

  1. In the Users list, click for the account that you want to modify, and then select Edit.

  2. In the user information dialog that appears, select the Enable two-factor authentication checkbox.

  3. Click Save.

The password-based API access and two-factor authentication features are mutually exclusive.

After enable two-factor authentication, the user is prompted to use one of the authentication factors that are selected in the Security section of the Global Settings page when they sign in to BarTender Cloud.

ClosedTo clear the phone number that is used for two-factor authentication

Use this procedure to clear a user's two-factor authentication phone number so they can use a different phone number instead.

  1. In the Users list, click for the account that you want to work with, then select Edit.

  2. In the user information dialog, click 2FA Reset.

Use the following procedures to deactivate, reactivate, or delete user accounts.

ClosedTo deactivate or reactivate a user account

  • In the Users list, click for the account that you want, then select Deactivate user for an active user or Activate user for a deactivated user.

ClosedTo delete a user account

  1. In the Users list, click for the account that you want, then select Delete user.

  2. In the Delete User dialog, click Delete User.
