Creating and Modifying Workflow Rules

Workflow rules apply a workflow to specific files and file types.

ClosedTo create a workflow rule

  1. Under Workflow Rules on the Librarian Setup page, click New Workflow Rule to open the Workflow Rules dialog.

  2. Click New Rule to open the New Rule dialog.

  3. In the For files in Librarian folder(s) field, specify the path of the Librarian folder that contains the files that you want the rule to apply to. To also apply the rule to the files in the folder's subfolders, add an asterisk character (*) to the end of the path (for example, lib://Test/* applies the rule to files in the Test folder and also to files in the subfolders of the Test folder).

  4. In the With file type(s) field, specify the file types of the files that you want the rule to apply to. To use a regular expression to identify these file types, click to select the Use Regular Expressions check box, and then enter the regular expression in the field.

  5. Perform one of the following actions:

  6. Optionally, add a comment in the Rule Comments area.  

  7. Click OK.  

ClosedTo modify a workflow rule

  1. Under Workflow Rules on the Librarian Setup page, select the rule that you want, and then click Edit Workflow Rule to open the Workflow Rules dialog.

  2. Click Edit to open the Edit Rule dialog.

  3. In the For files in Librarian folder(s) field, specify the path of the Librarian folder that contains the files that you want the rule to apply to. To also apply the rule to the files in the folder's subfolders, add an asterisk character (*) to the end of the path (for example, lib://Test/* applies the rule to files in the Test folder and also to files in the subfolders of the Test folder).

  4. In the With file type(s) field, specify the file types of the files that you want the rule to apply to. To use a regular expression to identify these file types, click to select the Use Regular Expressions check box, and then enter the regular expression in the field.
