Adding a File

When you add a file to Librarian, you enable users on the network to access the file from the BarTender System Database. Subsequent edits or changes to the file are then also recorded to the BarTender System Database, which users can use to revert to or track previous changes that were made to a file.

  1. Open the Add File(s) dialog by using one of the following methods:

    • On the File menu, click Add.

    • Open the context menu in the Folders pane, and then click Add.

    • Open the context menu in the Files pane, and then click Add.

  2. If the file that you want to add is a BarTender document (which has the *.btw file name extension), browse to the document. If the file is not a BarTender document, click All files (*.*) in the File Type list, and then browse to the file.

  3. Select the file that you want, and then click Add.

  4. If Comment required is selected in the System Setup dialog, enter a comment into the Comments field. Otherwise, this step is optional.

  5. In the New State list, select a state. Only file states that have the Allowable initial state option selected in the Workflow Setup dialog are available.

  6. To immediately edit the file, click to select the Leave file checked out check box.

  7. Click Add to finish adding the file.

  8. After you save a file to the Librarian repository, it can be accessed from other applications of the BarTender Suite by using the lib://<folder>/<file> path. It can also be accessed by using ActiveX Automation, BarTender XML (BTXML) script, and the command-line interface.
