Encrypting Documents |
Required Edition |
Enterprise Automation |
While setting up user permissions for your BarTender suite is a very effective security measure, consider the following two scenarios where it would be possible for an unauthorized person to modify or print secure documents:
An individual copies documents from a PC on which Administration Console has been installed and configured to an unsecured PC.
An individual installs another copy of BarTender elsewhere on the network, but does not install Administration Console on that computer.
To prevent these scenarios, Administration Console provides you with a method for enabling document encryption. Once a document is encrypted, it becomes unreadable unless it is accessed by an authorized user on a properly-configured PC. If encrypted documents are moved to a different PC, they cannot be read unless there is a copy of Administration Console installed on that PC and the correct security key is specified, preventing deliberate or inadvertent modification to the document.
Once you have enabled document encryption, encryption and decryption occur without requiring user input. You create encryption keys and assign them to documents in Administration Console, and you can specify that when a new or existing document is saved, it is subsequently encrypted with the encryption key that you previously created. Decrypting documents is performed automatically as they are opened (including when they are printed).

If you lose or delete a key that was used to encrypt a document, you will no longer be able to use that document. |
The Encryption page allows you to add and delete document encryption keys, and enable automatic document encryption. It additionally provides access to the BarTender Document Encryptor dialog.
BarTender Document Encryptor Dialog
Using the BarTender Document Encryptor dialog, you can specify encryption for documents, change the encryption keys for previously encrypted documents, and remove encryption for documents.
Follow specific instructions for creating and deleting encryption keys, assigning encryption keys to documents, and removing encryption from documents.
