On the Encryption page, located within the Security node of Administration Console, you can add and delete document encryption keys, and specify automatic encryption of documents when saving. You can also open the BarTender Document Encryptor dialog, where you can assign encryption keys to existing documents or change the encryption key for existing documents that are already encrypted.

As existing documents are encrypted, they are saved in the version of BarTender that you are currently running. Therefore, if you encrypt a document that was created in an older version of BarTender, you will no longer be able to open the document in that older BarTender version.

To automatically encrypt documents when saving

In Administration Console's left Navigation Pane, click Security and expand the node.

Under Security, click Encryption to open the Encryption page.

If the desired encryption key is not listed in the Encryption Key pane, create a new encryption key.

At the bottom of the Encryption page, click the check box for Encrypt documents when saving.

From the Encryption Key dropdown list, select the encryption key you want applied when a document is saved.

Click Apply to save your changes. Alternatively, click OK to save your changes and close Administration Console.
BarTender documents will be automatically encrypted only when Encrypt documents when saving is enabled.

If you deselect the option Encrypt documents when saving, any documents with encryption enabled will be decrypted the next time you save the document in BarTender.

To encrypt existing documents

In Administration Console's left Navigation Pane, click Security and expand the node.

Under Security, click Encryption to open the Encryption page.

If the desired encryption key is not listed in the Encryption Key pane, create a new encryption key.

At the bottom of the Encryption page, click the Document Encryptor link to open the BarTender Document Encryptor dialog.

Click the Add button to open Windows Explorer.

Browse to and select the desired document(s) and click Open to add the document(s) to the dialog.

If desired, you can subsequently remove a document from the dialog by selecting the document and clicking the Remove button.

In the BarTender Documents pane, select the document(s) that you want encrypted.

To select multiple documents, hold down the Ctrl button on your keyboard while clicking on the desired documents. Alternatively, if you want to select all the documents in the BarTender Documents pane, click the Select All button.

Select the desired encryption key from the New Key dropdown list.

Click Encrypt Selected Documents Using New Key.

Click Close to close the Document Encryptor.
To change a document's encryption key

In Administration Console's left Navigation Pane, click Security and expand the node.

Under Security, click Encryption to open the Encryption page.

If the desired encryption key that you want to use is not listed in the Encryption Key pane, create a new encryption key.

At the bottom of the Encryption page, click the Document Encryptor link to open the BarTender Document Encryptor dialog.

Click the Add button to open Windows Explorer.

Browse to and select the desired document(s) and click Open to add the document(s) to the dialog. Once in the dialog, the current encryption key for each document is displayed.

If desired, you can subsequently remove a document from the dialog by selecting the document and clicking the Remove button.

In the BarTender Documents pane, select the document(s) that you want encrypted with a different encryption key.
