Viewing Print History Data

You can use the Print History page to do the following:

  • View, sort, and filter tables of print jobs, printed pages, and individual printed items as grouped by criteria such as print date, printer name, paper size, and so on.

  • Export print history data to an external file (when you view the data in a list view).

  • Reprint whole print jobs, printed pages, or individual printed items. (You can reprint only original items, not reprinted items.) For more information, refer to Reprinting Items.

Print history data is displayed in one of four views that are organized by printed item or by print job in either image or list format.

ClosedTo select a date range and grouping criteria in any view

  1. On the toolbar, click Date Range, and then select the date range that you want.

  2. On the toolbar, click Group By, and then select the criteria by which you want to group the print history data.

List Views

The following procedures apply when you view printed items or print jobs in a list format. To view the list format, click List on the toolbar.

ClosedTo show or hide columns

Use one of the following methods:

  • Click to use the column chooser to show or hide the columns that you want.

  • Click for the column that you want to hide, and then click Hide <column name> column.

  • When one or more columns are hidden, click for any column, and then click Show all columns.

ClosedTo hide or show the filter row

When the filter row is shown, you can click Filter for various columns to filter the print history data by that filter. Not every column supports filtering.

  • Click to hide the filter row.

  • Click to show the filter row.

ClosedTo filter data by using the filter row

  1. On the toolbar, click to show the filter row if it is not already displayed.

  2. Click the Filter list for the column that you want, and then do the following:

    • Select the checkboxes for the items that you want to show in the table.

    • Clear the checkboxes for the items that you want to hide.

  3. Repeat step 2 for other columns as needed.

ClosedTo delete one or more filters from the filter row

Use one of the following methods:

  • Click on a filter in the filter row. This action deletes one filter at a time.

  • Point to the Filter list, and then click . This action deletes all the filters for the selected column.

  • Click for the column that you want, and then click Clear Filters. This action deletes all the filters for the selected column.

ClosedTo sort data in ascending or descending order

  • In the column header row, click for the column that you want, and then click either Sort by <column name> ascending or Sort by <column name> descending.

Not every column supports sorting.

ClosedTo export print history data

  1. At the bottom of the print history data table, click Export.

  2. In the Export Print History dialog, do the following:

    • In the File Name field, enter a name for the export file.

    • In the File Type list, select the file type that you want.

  3. Click Export.

Note: You can specify the types of data that are exported. To do this, click , and then use the column chooser to hide the columns in the print history table whose data you do not want to export.

Image Views

The following procedures apply when you view printed items or pages in an image format. To view the image format, click Image on the toolbar.

ClosedTo show or hide the filter buttons

On the toolbar, do one of the following:

  • Click to show the filter buttons.

  • Click to hide the filter buttons.

ClosedTo filter data by using the filter buttons

  1. On the toolbar, click to show the filter buttons if they are not already displayed.

  2. Click the button for the filter that you want, and then do the following:

    • Select the checkboxes for the items that you want to show.

    • Clear the checkboxes for the items that you want to hide.

  3. Repeat step 2 for other buttons as needed.

  4. Click outside the filter button row to confirm your selections.

ClosedTo delete one or more filters

Use one of the following methods:

  • Click on a filter in the filter button. This action deletes one filter at a time.

  • Point to the filter button that you want, and then click . This action deletes all the filters for the selected button.

  • On the toolbar, click Clear Filters. This action deletes all the filters for all the buttons.
