Select Records Dialog

The Select Records dialog opens when you print a document that is connected to a database. Use this dialog to search, sort, and filter the available database records and then select the records that you want to print. The database records are displayed in a table format.

The dialog includes the following components:

  • Search field: Filters the record set to show only those records that include the characters that you enter in the field.

  • Record number column: Displays the number for each record in the record set.

  • Check box column: Specifies the records that are selected for printing. You can select and clear records individually, and you can also select or clear all the records by clicking the check box in the column header.

  • Database field columns: Displays a column for each database field that is linked to an object on the template. You can sort each column in ascending or descending order by clicking the column header.

  • Selected Records: Displays the record numbers for the records that you selected for printing. You can use this field to manually enter the records that you want to be printed, as follows:

    • To specify a series of separate record numbers, use commas (for example: 1,3,7).

    • To specify a range of records, use a hyphen (for example: 1-3).

    • To specify both a series and a range of records, use a combination of commas and hyphens (for example: 1-3,7,8).

    • To specify a custom number of copies, use parentheses (for example: 1-3,7,8,9(14),12-40,41-43(14)). This option overrides the Copies setting on the Quantity mini-tab of the Print dialog in BarTender Designer and is available when you click to select the Allow record selection dialog to override copies check box in the Print Quantity Options dialog in BarTender Designer.
