Item Properties Dialog |
Use the Item Properties dialog, which you can access by clicking New Item or Edit Item on the Inventory menu, to create a new inventory item or edit an existing item. You can enter information to uniquely describe the item, to specify where quantities of the item are stored, and to track the item's usage.
The following tabs are available.
Use the Item tab to enter or modify information that describes the inventory item. The following options are available:
Type: Specifies the item type. You can add, modify, or delete item types by using the Define Types dialog.
Description: Specifies a unique description for the item.
Part Number: Specifies an item's part number, which you can use to receive an item by using the Receive Item by Part Number dialog.
Notes: Specifies user-defined notes about the inventory item.
User-Defined Attributes: Specifies custom attributes. You can enter as many attributes of your own definition as you want. Each attribute consists of a name and a value. Just like the predefined attributes, the user-defined attributes can be included in inventory alert messages and can also be used to help filter the alert messages.
Use the Inventory tab to specify where quantities of the item are stored and to configure alert message notifications when quantities of the item in inventory are running low. The following options are available.
Inventory
Stock Level: Specifies the total quantity of the inventory item that is currently in stock.
Location: Displays a list of all locations that were specified by using the Define Inventory Locations dialog. You can assign a quantity to a location or edit the existing quantity. Available when more than one location is specified.
Receive Item: Opens the Receive Item dialog, which you can use to increase the current inventory levels of an item.
Move Item: Opens the Move Item dialog, which you can use to transfer the inventory from one location to another.
Use Item: Opens the Use Item dialog, which you can use to decrease the current inventory levels of an item.
Default Location: Specifies the default inventory location for the item. The default location is used for all operations on this item if no location is explicitly selected. When you select Most Recently Used, the location that was used most recently for any operation on any inventory item is used as the default location. Available when more than one location is specified.
Inventory Alert
Alert when less than: Sends an alert message when the quantity of the item in inventory is below the quantity that is specified.
Remind every [X] days: Sends a reminder message at the specified interval when the quantity of the item in inventory reaches the alert level.
Use the Usage tab to track an item's usage and to specify usage tracking parameters. To modify the usage settings for an item that was moved into a printer, use the Item Usage dialog. The following options are available.
Item Usage
Tracking Method: Specifies how to track the inventory item. If None is selected, the item's usage is not tracked. Otherwise, the tracking options are By Pages, By Meters, By Centimeters, By Inches, By Feet, By Weeks, or By Days.
Display As: Specifies how an item's usage is displayed in the Item Usage Meter field of the Printers pane. For all tracking methods, you can select Percent Remaining. Other options depend on the selected tracking method and include Pages Remaining, Pages Printed, Length Remaining, Length Printed, Time Remaining, or Time Used.
Estimated Maximum: Specifies the estimated maximum size or duration of the item. The units vary depending on the selected tracking method.
Low Level (Yellow)
Low Level: Specifies the threshold at which an item's inventory level is considered to be low. The units vary depending on the selected usage tracking method for the item. Items that reach the low-level threshold are indicated by a yellow bar on the Printers pane.
Alert when level reached: Sends a notification when the low-level threshold is reached. This alert is displayed in the Events pane and can also be used to trigger an email or other type of alert by using the Event Settings dialog.
Critical Level (Red)
Critical Level: Specifies the threshold at which an item's inventory level is considered to be critical. The units vary depending on the selected usage tracking method for the item. Items that reach the critical-level threshold are indicated by a red bar on the Printers pane.
Alert when level reached: Sends a notification when the critical-level threshold is reached. This alert is displayed in the Events pane and can also be used to trigger an email or other type of alert by using the Event Settings dialog.
Remind every [X] hours: Sends a reminder message at the specified interval when the quantity of the item in inventory reaches the critical-level threshold.
