When you want to make changes to a file, you must first check it out. When you do this, you open the file so that only you can edit it. No other user has access to the file while it is checked out. For more information, refer to Checking Out a File.
When you are done editing a file, you must check it in so that other users have access to it. For more information, refer to Checking In a File.
Use the System Setup dialog, which you can access from the Administer menu, to configure options that apply to the process of checking items in and out of Librarian.
Check Out Options
Confirm when automatically checking out files: Specifies that Librarian displays a message that confirms that a file has been checked out as part of the progression of a workflow.
Check In Options
Comment required: Specifies that users must enter a comment when they check in a file. The comment should contain information about the changes that were made to the file, so that other users can easily see what changes were made.
Always ask to check in on save of checked out files: Specifies that the user is prompted to check a file back into Librarian when the file is checked out, modified, and then saved.
