Checking Out a File

When you want to edit a file that is stored in the Librarian repository, you must first check out the file. This process marks the file as writable on your computer. When you check out a file, the following things happen:

When you check out a file from Librarian, you prevent others from editing the file. When you check the file back in to Librarian, other users have access to the file together with all of the changes that you made to it.

  1. In the Library directory in the Folders pane, browse to the folder where the file resides. If the file is waiting for your approval, you can also click the Waiting for My Approval directory to find the file.

  2. Open the Check Out File(s) dialog by using one of the following methods:

    • In the Files pane, select the files that you want to check out. Right-click the files, and then click Check Out.

    • In the Files pane, select the files that you want to check out, and then click Check Out on the File menu.

  3. In the Check Out File(s) dialog, browse to the location on your computer where you want to save the file.

  4. Click Check Out to complete the check-out process.

After you check out a file from Librarian, other users have restricted access to the file and cannot make any modifications to it. To grant other users access, the file must be returned to the repository. To do this, use one of the following methods:
