Granting Access Permissions for Printers

By default, all users can access all printers in your network. As an administrator, however, you can limit who can access specific printers. You do this by using the Add Users/Groups to Permissions dialog on the Permissions tab of the Printer Details page to grant specific users and user groups access permissions and to remove those same permissions from the All Users group.

Note: When you configure permissions for specific users and groups, you must also remove those permissions from the All Users group. Otherwise, the All Users permissions will supersede any custom permissions that you configure.

The access permissions specify which actions the users and user groups can perform, as follows:

  • Print: Specifies that the user or group can send a print job to the selected printer.

  • View Print Jobs: Specifies that the user or group can view the print job queue and print history for the selected printer.

  • View Printed Items: Specifies that the user or group can view the label data and previews of printed items that were printed by the selected printer. (When this permission is selected, the View Print Jobs permission is also selected automatically.)

  • Manage Printer: Specifies that the user or group can manage the selected printer, such as by pausing or canceling print jobs, clearing the print queue, changing default printer settings, and performing printer actions such as calibrating or restoring factory defaults. The modification of printer settings in BarTender Cloud is not supported for all printers.

ClosedTo grant access permissions

  1. On the Printer Details page, click the Permissions tab.

  2. Click .

  3. In the Add Users/Groups to Permissions dialog, click for the Groups or Users list, select the groups and users that you want, and then click outside the dialog to confirm the selection.

  4. Click Add.

  5. Click for the group or user that you just added, and then select the specific actions that you want to grant permissions for.

  6. Repeat step 5 for other groups and users as needed.

  7. In the All Users group box, clear the actions that you selected for the specified groups and users.

  8. Click Save Changes.

ClosedTo remove one or more access permissions

  1. On the Printer Details page, click the Permissions tab.

  2. In the Groups or Users list, click for the group or user that you want.

  3. Clear the specific actions that you want to remove permissions for.

  4. Repeat steps 2 and 3 for other groups and users as needed.

  5. Click Save Changes.

ClosedTo remove all access permissions

When you remove access permissions for all specified users and user groups, the printer becomes accessible to all users and groups.

To do this, follow these steps:

  1. On the Printer Details page, click the Permissions tab.

  2. In the Groups or Users list, click for the group or user that you want.

  3. In the Remove Permissions dialog, click Remove.

  4. Repeat steps 2 and 3 for other groups and users as needed.

  5. Click Save Changes.
