As an administrator, you can invite new users to your BarTender Cloud account and edit, deactivate, reactivate, and delete existing users. You can also change or remove profile pictures, send a password change request email message to a user, and resend a BarTender Cloud invitation to a user who has not responded to the initial invitation.
Use the following procedures to invite or reinvite users to BarTender Cloud.
To invite a new user to BarTender Cloud

In the left navigation pane of the Manage Cloud Account view, click Users to display the Users page, and then click Create User.

In the Create User dialog, follow these steps:

In the Enter First Name field, enter the user's first name.

In the Enter Last Name field, enter the user's last name.

In the Email field, enter the user's email address.

If you want the user to have administrator permissions, select Set as administrator.

If you want the user to be able to access the BarTender Cloud REST API by using a console application or service that requires a user name and password, select Allow password-based API access. For more information, refer to Authentication. The password-based API access option is available only for the Automation subscription plan.

If you want the user to be able to use two-factor authentication when they sign in to BarTender Cloud, select Enable two-factor authentication. Available when allowed authentication factors are specified on the General page.

In the Roles list, select the roles that you want the user to have. Available when Set as administrator is not selected.

Click Invite.
Note: The password-based API access and two-factor authentication features are mutually exclusive.

The email invitation that the new user receives includes information about how to get started with BarTender Cloud and a link to a Change Your Password dialog that starts the onboarding workflow. After the new user provides a new password, they are guided to provide the following:

Email address and password to use to sign in to BarTender Cloud

Account information, including name, title, city, state or province, country, and telephone number
-
Responses to the Terms of Service and BarTender communications options
To resend an invitation to BarTender Cloud

In the left navigation pane of the Manage Cloud Account view, click Users to display the Users page.

In the users list, click for the account that you want, and then click Resend invitation. An email message that contains an invitation to BarTender Cloud is automatically sent.
Use the following procedures to make changes to existing user accounts.
To edit an existing user account

In the left navigation pane of the Manage Cloud Account view, click Users to display the Users page.

In the users list, click for the account that you want, and then click Edit.

In the user information dialog that appears, make the edits that you want.

Click Save.
To allow password-based BarTender Cloud API access for an existing user account
Note: The password-based API access option is available only for the Automation subscription plan.

In the left navigation pane of the Manage Cloud Account view, click Users to display the Users page.

In the users list, click for the account that you want, and then click Edit.
-
In the user information dialog that appears, select Allow password-based API access.
-
Click Save.

To change the profile picture of an existing user account

In the left navigation pane of the Manage Cloud Account view, click Users to display the Users page.

In the users list, click for the account that you want, and then click Change profile image.

In the Choose and crop an image for user dialog, click Choose Image.

Browse to and select the image that you want, and then click Open.

Use the sizing and positioning handles to crop and rotate your image as needed. To select a different image, click Change Image to repeat step 4.

Click Save.
To remove the profile picture of an existing user account

In the left navigation pane of the Manage Cloud Account view, click Users to display the Users page.

In the users list, click for the account that you want, and then click Remove profile image.

Click Remove Image.
Use the following procedures to manage security options for an existing account.
To send a password reset request

In the left navigation pane of the Manage Cloud Account view, click Users to display the Users page.

In the users list, click for the account that you want, and then click Reset password. An email message that contains a password reset request is automatically sent.
To turn on two-factor authentication for an existing user account

In the left navigation pane of the Manage Cloud Account view, click Users to display the Users page.

In the users list, click for the account that you want, and then click Edit.
-
In the user information dialog that appears, select Enable two-factor authentication.

Click Save.
Note: The password-based API access and two-factor authentication features are mutually exclusive.

After you do this, the user is prompted to use one of the authentication factors that are selected in the Security section of the General property page when they sign in to BarTender Cloud.
To clear the phone number that is used for two-factor authentication
Use this procedure to clear a user's two-factor authentication phone number so that they can use a different phone number instead.

In the left navigation pane of the Manage Cloud Account view, click Users to display the Users page.

In the users list, click for the account that you want, and then click Edit.

In the user information dialog that appears, click 2FA Reset.
Use the following procedures to deactivate, reactivate, or delete user accounts.
To deactivate or reactivate a user account

In the left navigation pane of the Manage Cloud Account view, click Users to display the Users page.

In the users list, click for the account that you want, and then click Deactivate user for an active user or Activate user for a deactivated user.
To delete a user account

In the left navigation pane of the Manage Cloud Account view, click Users to display the Users page.

In the users list, click for the account that you want, and then click Delete user.

In the Delete User dialog, click Delete User.
