To specify which records to print at print time, you can filter the data in a database in one of several ways. This section describes how each filtering method works so that you can decide on the best method to use for your printing requirements. Considerations include the data that your database contains, your printing needs for that data, and the print operators' level of search criteria knowledge or training.

In the Print dialog, you can choose to select queried records at print time and filter the information that appears in the Select Records dialog. You can also filter records by using a Record Picker control on a data entry form.

• Creating a Basic Filter

  By using the Database Setup dialog, you can create a static filter on one or more fields and/or tables of the database that you connected to your BarTender document. This filter is applied each time you print the document, and only those records in the database that meet the filter criteria are printed.

• Filtering Data by Using a Query Prompt

  You can also use the Database Setup dialog to create a query prompt for filtering your data. You create the query (or filter) in the same way as you do the basic filter, but instead of providing the criteria value in the saved filter, you create a prompt. At print time, the Query Prompt dialog is displayed, which the print operator uses to enter the filter criteria.

• Filtering Data Using the Select Records Dialog

  By using the search and filter features of the Select Records dialog, print operators can filter database records in the Print dialog or in a record picker control on the data entry form.
