Librarian

Librarian is a content management and revision control system for BarTender documents, images, and other files. Librarian stores files in a centralized repository, and you can use it to track changes that are made to a file, revert to earlier versions of a file, and restore deleted files. Librarian stores its files in the BarTender System Database so that all users of the BarTender Suite have access to them.

To edit a file that is stored in Librarian, a user must check the file out of the repository. When the changes are complete, the user checks the files back in to the repository. Librarian keeps track of all revisions, logging the date and time of a modification and the name of the user who checked the file in. Users who have the corresponding permission assigned to them in Administration Console can access this information, so they can easily identify file revisions.

File revisions are identified by consecutive numbers. When a file is first added to the repository, its designation is "revision 1." When the first change is made to a file, the subsequent check-in is "revision 2," and so on. At any time, a user can revert to a previous revision of a file.

Librarian supports workflows that you can use to manage a document’s revision cycle and automate your business processes, such as reviewing template designs or approving documents for production. You can configure workflows and workflow rules by using the Librarian Setup page in Administration Console. For more information, refer to the Administration Console help system.
