You can manage your encryption keys and assign encryption keys to documents by using the Document Encryption page and the BarTender Document Encryptor dialog. Depending on your needs, you can create multiple encryption keys, delete encryption keys, assign encryption keys to existing documents, specify an encryption key for new documents, and decrypt previously encrypted documents.

As existing documents are encrypted, they are saved in the version of BarTender that you are currently running. Therefore, if you encrypt a document that was created in an older version of BarTender, you can no longer open the document in that older BarTender version.

To create an encryption key
To begin encrypting documents, you must first create an encryption key.
| You can use any instance of Administration Console to store multiple encryption keys. This makes it possible to decrypt documents that were encrypted by multiple sources. |
In the left navigation pane of Administration Console, click Security.
Under Security, click Document Encryption to open the Document Encryption page.
Click Add to open the Add Document Encryption Key dialog.
In the Encryption Key Name field, enter a name for the new key.
In the Encryption Key field, enter a value for the new key.
In the Comments field, add any optional comments that you want.
Click OK to close the Add Document Encryption Key dialog.
Click Apply on the Document Encryption page to save your changes.
Assign the encryption key to your documents. Alternatively, click OK to close Administration Console.
To automatically encrypt documents when they are saved
In the left navigation pane of Administration Console, click Security.
Under Security, click Document Encryption to open the Document Encryption page.
If the encryption key that you want is not listed on the page, create a new encryption key.
Click to select the Encrypt documents when saving check box.
In the Encryption Key Name list, click the encryption key that you want to be applied when a document is saved.
Click Apply to save your changes. Alternatively, click OK to save your changes and close Administration Console.
BarTender documents are automatically encrypted only when the Encrypt documents when saving option is selected.
| If you click to clear the Encrypt documents when saving option, any documents that are encrypted will be decrypted the next time that you save the documents in BarTender. |
To encrypt existing documents
In the left navigation pane of Administration Console, click Security.
Under Security, click Document Encryption to open the Document Encryption page.
If the encryption key that you want is not listed on the page, create a new encryption key.
Click the Document Encryptor link to open the BarTender Document Encryptor dialog.
Click Add to open Windows Explorer.
Browse to and select the documents that you want, and then click Open to add them to the list.
In the BarTender Documents pane, select the documents that you want to be encrypted. To select all the documents, click Select All.
In the New Encryption Key Name list, click the encryption key that you want.
Click Encrypt Selected Documents Using New Key, and then click Close.
To change a document's encryption key
In the left navigation pane of Administration Console, click Security.
Under Security, click Document Encryption to open the Document Encryption page.
If the encryption key that you want is not listed on the page, create a new encryption key.
Click the Document Encryptor link to open the BarTender Document Encryptor dialog.
Click Add to open Windows Explorer.
Browse to and select the documents that you want, and then click Open to add them to the list. The name of the current encryption key for each document is displayed.
In the BarTender Documents pane, select the documents that you want to be encrypted with a different encryption key. To select all the documents, click Select All.
In the New Encryption Key Name list, click the encryption key that you want.
Click Encrypt Selected Documents Using New Key, and then click Close.
To remove encryption from a document
In the left navigation pane of Administration Console, click Security.
Under Security, click Document Encryption to open the Document Encryption page.
Click the Document Encryptor link to open the BarTender Document Encryptor dialog.
Click Add to open Windows Explorer.
Browse to and select the documents that you want, and then click Open to add them to the dialog. The name of the current encryption key for each document is displayed.
In the BarTender Documents pane, select the documents that you no longer want to be encrypted. To select all the documents in the list, click Select All.
In the New Encryption Key Name list, click <None>.
Click Encrypt Selected Documents Using New Key, and then click Close.
| To stop automatic encryption of documents, click to clear the Encrypt documents when saving check box on the Document Encryption page. After you do this, no additional documents are encrypted, and any documents that were previously encrypted will have the encryption removed the next time that you save the documents in BarTender. |
To delete an encryption key
When an encryption key is no longer being used, and you have no plans to use it in the future, you may want to delete it.
| If you delete a key that was used to encrypt a document, you can no longer use that document. Before you delete the encryption key, either remove encryption from the affected document or change the document's encryption key. |
In the left navigation pane of Administration Console, click Security.
Under Security, click Document Encryption to open the Document Encryption page.
In the list of encryption keys, select the encryption key that you want to remove, and then click Delete.
Click Apply to save your changes. Alternatively, click OK to save your changes and close Administration Console.
